PRIVACY POLICY:  Any  of  your personal information including home address, email address, and any credit card information 
will be strictly protected and will NOT be revealed to anyone outside of our company. 
We do not sell or disclose customer information to other companies or persons!

How to make reservations: We encourage you to make your reservations at the earliest possible date. Why? Because only a limited number of people can be accommodated on our motor coaches. In addition, hotel reservations often must be made and tickets must be purchased months in advance. When calling for a reservation,  please have the following information ready: (1) Name of tour and departure date. (2) Tour participant name (s), address, and phone number (s). (3) Single, double, triple, or quad accommodations (if applicable) (4) Departure location. (5) On overnight tours-smoking/non-smoking preference  (6) Special dietary concerns. (7) On multiple day tour over a Saturday and Sunday, please check at your hotel for location of church of your choice. They can give you information as to the cost and availability of transportation.

Tour Price Includes:
Transportation:  Imperial motor coaches are equipped with rest room, air-conditioning, adjustable lounge seats, radio and public address system. 

Accommodations: Your highly-rated accommodations are chosen on the basics of location, cleanliness, and dining facilities, as well as the warm hospitality of their management and staff.  Room assignments are always made by the hotel/motel in an impartial manner. 

Special Request: Special requests such as smoking/non-smoking rooms, king size beds, side-by-side rooms, or travel on the same motor coach with friends, need to be made when booking your tour or at least 30 days prior to departure. We try to honor all of these requests but in some motels and locations, special requests cannot always be honored due to availability. CAN I SHARE A ROOM? Persons traveling alone may request sharing a twin/double room. We will do our best to find someone that is also looking for a roommate, but the decision to room together is up to you. We do not assign roommates without consent from both parties. If we do not succeed, the single rate applies. Price per person will change if a roommate cancels and  accommodation type changes.

Please Note:  If a physical disability prevents one from being independent, that person will be required to travel with another who will be solely responsible for any assistance needed.

Sightseeing: All sightseeing tours, guides, and admissions are covered in the tour price as outlined in the itinerary--unless otherwise stated.

Luggage: Each passenger is allowed one suitcase, weighing no more than 45 pounds. A small carry-on or overnight bag is permissible, if carried by the passenger.  Although every effort is made to handle your baggage carefully, we cannot be responsible for lost, stolen, or damaged articles, including luggage.

Clothing: Bring comfortable walking shoes, appropriate attire, sweater or jacket. Laundry or dry cleaning service may be available during some of the tours.

Deposits and final payments: Full payment due on all one day tours costing less than $75.00. 
 On all multiple day tours, a $100.00 per person deposit is required, unless otherwise specified. All deposits are due within 7 days of making reservations and all final payments due 30 days prior to departure (unless otherwise specified). If reservations is made within 30 days of departure, full payment is required at the time of booking.

Charge it! Imperial Royal Tours accept Visa, MasterCard, and Discover Card as payment on any tour. If you wish, we will automatically charge your credit card account when your final payment is due.

The Tour price does not include: Gratuities to Tour Director and Driver: Gratuities are appreciated (for good service) but should be extended on an individual basis, not as a group. 
Meals: Other than those listed in the itinerary.
Personal Expenses: Valet and room service, telephone calls, and all other items of personal nature.

Late Reservations: Reservations may be accepted up to the time of departure, depending upon space availability.

Refunds: A full refund of all money will be made provided cancellation is received more than 15 days prior to departure. Cancellation received 14 days or less prior to departure will be subject to penalties equivalent to expenses incurred, unless the space can be resold. Regardless of reason, cancellations and transfers result in costly process of letters, toll calls, record adjustments, refund checks, etc. plus loss of non-refundable tickets and accommodations, if time does not permit the resale. If the trip is cancelled due to inclement weather or an act of God, all monies will be refunded with the exception of those monies that are not returned to us by our vendors! 

Refunds are not given on tours for attractions, meals, etc., for which individuals do not participate while on the tour.

Note: If a person cancels a tour and a roommate remains, the rate charged the remaining persons(s) will be the tour rate for the new accommodations.

Fly Tours, Rail Tours, International Tours and Cruises: Cancellation of these tours will result in a fee. Cancellation fees are determined by our suppliers. You will be charged according to their policy.

Final tour information & documents: Your documents are mailed approximately 10 days prior to departure. Documents include departure and return information, day-by-day itinerary, baggage tags, hotel address and phone numbers, and other pertinent information. Call our office immediately if your pick-up point is incorrect.

Insurance: All passengers are insured only while on the motor coach. Imperial is not responsible for lost, stolen, or damaged articles or luggage. You should have adequate cancellation, baggage, accident, and sickness insurance. Individual trip insurance is available. The application must be received by the insurance company seven days after your initial deposit is made. Any question, please call Access America at 1-800-284-8300.

Passports and proof of citizenship: Although Passports are not required to enter Canada, Mexico, or to go on most of our tours, it is the best form of identification. You should carry some proof of citizenship any time you go outside the United States. A birth certificate and a Government issued photo ID is required when crossing into Canada or Mexico. Foreign visitors to the United States, entering Canada must have a Canadian visa. If you have any thoughts of going abroad, better start now. You may obtain the proper forms through the Clerk of Court or at the Post Office. We also have Passport application forms--for new or renewal--and we'll be delighted to help you.

On the motor coach:
Seat rotation: On multiple day tours, it is requested that tour members please rotate seats on a daily basis throughout the duration of the tour. Seats are not pre-assigned, but are rotated on a regular basis, using different methods as determined by your Tour Escort. This method affords equal opportunity for each traveler to view scenery from different areas of the motor coach during the course of the trip. No exception is made to our seat rotation policy. The seat directly behind the Driver is reserved for the Tour Escort.

Smoking and alcoholic beverages: For maximum tour enjoyment, we must ask that there be no smoking or alcoholic beverages on the motor coach.

Coach Courtesies: Persons paying single price will share a double seat section with another passenger when the motor coach is filled. We request that you cooperate in the seat rotation plan as set forth by your Tour Escort. Under no circumstances can seats be reserved on the coach for any tour. Punctuality is extremely important when traveling with a group. Each person must be seated before the coach can proceed. We request that you remain seated at all times while the motorcoach is in motion (unless absolutely necessary) for your own personal safety as well as the safety of other passengers .

Imperial royal tours, inc. Operates under ICC Broker License and DOT Regulations. Imperial Royal Tours acts only as agents for tour members in arranging tour accommodations, transportation, sightseeing, admissions, and restaurants. Imperial Royal Tours is not responsible for any loss or damages of personal property, or for injuries, expenses, or damages incurred or claimed by any tour member. Imperial Royal Tours and/or their leaders, in anticipating bookings for any tour, clearly stipulate that they are not liable for the faults or defaults of all companies and persons that may be used in carrying out the tour services; also for accidents, baggage losses, strikes, political unrest, riots and acts of God and war. In the event that it becomes necessary or advisable ever to alter the itinerary or arrangements, such alterations may be made without penalty to the operator. Additional expenses, if any, shall be borne by the passengers. Imperial Royal Tours reserves the right to cancel any tour conditions beyond our control, including insufficient participation. In the event of a tour cancellation, all deposits will be refunded in full. Imperial Royal Tours reserves the right to terminate the participation of any person whom Imperial Royal Tours management considers to be objectionable and who disrupts in any way the relaxed atmosphere of our tours. Our objectives are to ensure the compatibility and congeniality of all passengers and the smooth and efficient operation of the tour.

Changes in events or attractions: In the rare occurrence that a change is made in events or attractions as stated in the itinerary, a similar event or attraction will be substituted. Occasionally an attraction or event will be changed due to conditions beyond our control.

Exclusions: Imperial Royal Tours and our department locations are not responsible for loss or damage to cars or articles left in cars while parked. Imperial is not responsible for loss, damage,  theft of luggage or personal belongings, or for personal injury, accidents, or illness.

Additional Tours: Neither our Royal Tour Catalog nor our web site list all the tours to be offered by Imperial Royal Tours in the coming year. Additional tour departures and destinations are continually being added. For up-to-date information concerning these offerings, be sure to watch for the periodic new Royal Tours catalogs, newsletters, fliers or web site updates.
